Office Manager / FF&E Coordinator

The main responsibility within this vacancy is taking on the role of Office Manager. In this versatile position, you are one of the key links in the daily operations of our office.

Your responsibilities as Office Manager

  • You ensure a well-organized and professional working environment

  • You are responsible for the practical and organizational follow-up of daily office activities
  • You support internal processes and help maintain structure and efficiency
  • You are the first point of contact for practical questions within the office
  • You provide administrative and organizational support to colleagues where needed
  • You help ensure an efficient workflow and proper follow-up of tasks

In addition to your main role as Office Manager, you will contribute to FF&E coordination within our projects.

What is an FF&E Coordinator?

FF&E stands for Furniture, Fixtures & Equipment. As an FF&E Coordinator, you are responsible for the selection, follow-up, and coordination of all loose interior elements within our projects. This includes furniture, lighting, carpets, curtains, door handles, decoration, and all other finishing elements that complete an interior.

You not only safeguard the overall aesthetic vision but also ensure that everything is executed practically, on time, and correctly.

Your responsibilities as FF&E Coordinator

  • You support the selection of furniture, lighting, textiles, decoration, and other interior components within various projects
  • You translate design concepts into well-considered and visually strong presentations for clients
  • You maintain communication and coordination with suppliers, manufacturers, and external partners
  • You closely monitor budgets for FF&E and interior components
  • You safeguard coherence in materials, appearance, and finishing within each project
  • You follow up on schedules and deadlines in a critical and structured way to ensure efficient project execution

What we are looking for in you

  • A degree in interior design or interior architecture is not strictly required, but is a strong advantage
  • A strong affinity with interior, design, and materials is essential
  • You work in a very structured, accurate, and punctual way
  • You can maintain oversight across multiple ongoing projects and closely monitor deadlines
  • You have a critical eye for detail and high aesthetic standards
  • You are strong in communication and can easily interact with different stakeholders
  • Experience with or interest in tools such as Revit, Photoshop, InDesign, and Illustrator is a strong plus
  • You speak and write Dutch fluently, which is an absolute requirement for this position. Knowledge of French and English is a plus
